Accounts Payable Coordinator

JOB DESCRIPTION

In this role, you will be responsible for managing the firm’s AP operations with precision, ensuring vendors are paid on time and in full compliance with current regulations.

We are looking for a dedicated professional with strong attention to detail who can handle a fast-paced environment, juggle multiple tasks, and maintain excellent relationships with our vendors and internal teams. What You’ll Do:

  • Manage Accounts Payable: Take charge of processing vendor invoices and employee expense reports.
  • Ensure Timely Payments: Accurately process vendor disbursements, ensuring payments are made promptly and in accordance with Vogel Law Firm’s financial policies.
  • Vendor Liaison: Serve as the primary point of contact for vendors, addressing and resolving any payment discrepancies or issues. Maintain strong professional relationships to facilitate smooth transactions.
  • Stay Compliant: Track and apply relevant sales tax regulations, manage 1099 reporting, and ensure compliance with unclaimed property regulations. Keep up to date with any changes to reporting requirements.
  • Recordkeeping & Organization: Maintain organized records of all invoices and payment transactions, ensuring easy access and compliance with firm guidelines.
  • Collaborate & Support: Work closely with the accounting team and other departments to support firm-wide financial operations and contribute to process improvements as needed.

  • Detail-Oriented & Precise: You have an eye for detail and ensure accuracy even when managing a high volume of invoices and payments.
  • Organized & Efficient: You excel at prioritizing tasks and managing deadlines, especially in a fast-paced environment.
  • Communicative & Personable: You’re a skilled communicator, able to maintain professional relationships with vendors and collaborate effectively with internal teams.
  • Tech-Savvy: You’re proficient with Microsoft Office tools and comfortable navigating general accounting systems.
  • Proactive & Independent: You can work with minimal supervision, solving problems and taking initiative to ensure everything runs smoothly.

Your Background:

Required: High School Diploma or equivalent.

Preferred: Associate’s degree in accounting or a related field.

Experience: At least 2 years of experience in accounts payable or general accounting, particularly in a high-volume setting. Prior experience in a law firm or professional services environment is a plus.

Physical & Work Environment:

  • Standard office setting with occasional lifting (up to 20 lbs.).
  • Comfortable sitting for extended periods, frequent use of hands for typing and document handling.
  • Flexibility for occasional extended hours to meet deadlines.
